Outreach Methods — SMS, Cold Calling, and Social Media
This SOP covers the fundamental outreach methods to acquire clients for your AI automation business.
Each method has specific use cases, tools, and best practices that maximize your success rate.

SMS outreach is powerful for reaching local service businesses and professionals who are used to text-based communication. However, it requires careful setup and the right targeting.
Why: These niches view SMS as unprofessional. Decision-makers in these industries expect formal communication channels like email or LinkedIn.
AVOID Toll-Free Numbers (877, 888, 800, etc.):
Before launching full campaigns, you MUST warm up your phone number.
Sending too many messages too quickly will get your number flagged as spam.
Day 1-3: Send ~10-20 messages per day to different contacts
Day 4-7: Gradually increase to 50-75 messages per day
Day 8-14: Scale up to 100-150 messages per day Day 15+: Full campaigns (150-200 messages/day max for personal numbers)

Follow-ups are MORE important than your initial message. Most prospects won't respond the first time — not because they're not interested, but because they're busy, forgot, or are testing your persistence.

Day 30+: Long-term nurture "Hey [Name], hope all is well! Still helping agents in [area] fill their calendars.
Let me know if you ever want to chat about it."
RULE: If your automation promises to generate leads and nurture prospects, but YOU can't
follow up consistently with YOUR prospects, why would they trust you to build a system that does it?
Your follow-up game IS your credibility.
Cold calling is one of the most effective outreach methods because it allows you to have real-time, human-to-human conversations. When done correctly, it builds trust faster than any other channel.

REMEMBER BAMFAM: Your goal on the cold call is NOT to close the deal. Your goal is to BOOK A MEETING FROM THE MEETING. Get their email and phone number, book the appointment on Calendly, and send the meeting link immediately.
Social media outreach is highly effective for niches that actively use Instagram and TikTok to market their businesses.
Create a new Instagram or TikTok account for outreach. Start engaging with content from your target niche until your entire feed is filled with potential leads.
Don't immediately DM people with a sales pitch. Build rapport first.
Your DM should be conversational, complimentary, and lead with a question.
DO NOT immediately pitch your service.

Many businesses list their phone number, email, or website directly on their profile.
ManyChat automates Instagram and TikTok DMs. Only effective if you already have a social media presence and are receiving inbound messages.
ManyChat does NOT work for outbound outreach. It only responds to people who message you first.
If you don't track your outreach, you're flying blind. You need to know what openers work, which niches respond, how many touchpoints it takes to book a call, and where your time is best spent.

The mistake most beginners make: picking one channel and hoping it works. The highest-converting agency operators run what's called a "multi-channel touch sequence" where each channel reinforces the previous one.
The 5-Touch Multi-Channel Sequence for Real Estate AI Agency (per prospect):
Use one of the openers from this SOP. Goal: get a "YES" or any response.
Search for them on LinkedIn. Send a connection request with a note:
"Hey [Name] — reached out via text yesterday. Thought I'd connect here too. I help real estate agents automate their lead follow-up. Would love to connect."
Use a service like Slybroadcast to drop a voicemail without ringing their phone.
Script: "Hey [Name], this is [Your Name]. I've reached out a couple of times because I have something I think could genuinely help your business with lead follow-up. Just 10 minutes would show you everything. Would love to connect — call me back at [number] or reply to my text."
Find their Instagram (many real estate agents are active). Send the casual DM template:
"Hey, been trying to reach you — saw your profile, love what you're doing in [city] real estate.
Had a quick question about your lead follow-up process. Mind if I ask?"
The SOP teaches personalized opening lines. Here's how to do that at scale without spending hours per prospect. This is the system Top agency research team uses to run 200+ touches/day with personalization.
[CITY]: Always include their city or local area ("agents in Denver", "teams in Dallas")
[SPECIFIC DETAIL]: One piece of information you pull from their profile or listing history (e.g., "I saw you specialize in luxury condos in Buckhead" or "Noticed you just listed on [street]")
[RESULT NUMBER]: Always use a specific number, not vague ("8-12 appointments" not "more appointments")
to a real estate agent named [name] who works in [area] and recently listed a property at [address/area]. Reference a specific detail about their market or listing."
Result: Fully personalized messages at scale. Every prospect gets a message that feels like you spent 5 minutes researching them — because your automation did.

Dials per day (personal number): 20-30 is the minimum viable floor
Dials per day (purchased number): 50-100 is standard for serious operators
Connect rate (someone picks up): 10-25% of dials (varies heavily by time of day)
Best call times for real estate agents: 9-11am and 4-6pm local time (agents are between showings)
Pitch-to-interested rate: 15-25% of people who connect will express interest

Minute 5: If no callback, send one follow-up SMS — "No worries if busy — I'll try again tomorrow.

Metric 1: Channel-specific cost per booked call
Calculate: (time spent on channel per week in hours x your hourly rate) / calls booked from channel This tells you which channel is most capital-efficient for your time
Metric 2: Opener A/B test results Run 2 opener variants simultaneously (split your list 50/50)
Track response rates separately for each variant After 100 sends per variant, keep the winner and test a new challenger Iterate every 2 weeks — your opener is never "finished"
Metric 3: Follow-up touch conversion Which follow-up number (1st, 2nd, 3rd, etc.) generates the most bookings?

Most prospects who eventually become clients respond between Touch 3-6.
Stopping at Touch 2 abandons the majority of your potential revenue. Build this sequence into Make.com so it runs automatically — never rely on manual follow-up memory.
