Overview
This SOP will guide you through building the essential backend infrastructure that makes your AI automation business look professional, credible, and ready to close clients. Your backend is the foundation that supports every client interaction — from the first impression to final delivery.
Complete these steps BEFORE starting outreach to maximize your credibility and close rate!

BUILD YOUR AUTOMATION TEMPLATE / BLUEPRINT
Before you start reaching out to clients, you need to have a clear representation of what you're going to build for them. However, this does NOT mean building the entire automation from scratch.
Scenario A: General Automation for Clients
▸Excalidraw: Free, visual flowchart tool — perfect for mapping automation steps
▸Notion: Create a timeline document showing deliverables and process
▸Miro: Collaborative whiteboard for detailed process mapping
▸Figma: Professional diagrams and visual representations
RULE: Do NOT screen-share your actual automation to prospects. Show them the outcome and process, not the technical implementation. This protects you from overpromising and gives you flexibility to deliver the best solution.

BUILD YOUR CREDIBILITY & PROFESSIONAL PRESENCE
Your credibility is everything when you're starting out. Clients won't trust you without a professional presence. This step focuses on building trust BEFORE getting case studies.
2.1 Your Website
Your website is your digital storefront. It needs to clearly communicate what you do, who you help, and why clients should choose you.

▸Framer — Professional, customizable templates
▸Hook/Headline: Your value proposition in one sentence. Example: "Turn Cold Leads Into 30 Booked Appointments in 90 Days"
▸What You Do (Services): Clear explanation of your automation services. Focus on outcomes, not technical jargon.
▸Who This Is For: Identify your target market. Example: "Real Estate Agents, Solar Companies, HVAC Businesses"
▸The Process/Timeline: Show clients what to expect. Example: "Week 1: Onboarding, Week 2: Build, Week 3: Launch"
▸About Me: Personal photo and brief background. Build trust by showing the human behind the business.
2.2 Social Media Presence
Your social media profiles add credibility and show you're an active, legitimate business. You don't need thousands of followers — just a clean, professional presence.
▸LinkedIn (CRITICAL for B2B niches): Essential for real estate, commercial property, biotech, SaaS, consulting, finance
▸Instagram: Visual credibility, especially for younger audiences
▸TikTok / X (Twitter): Optional but recommended for building authority
You don't need 10,000 followers. Even 40-50 engaged followers looks legitimate. Focus on making your profiles look active and professional rather than chasing vanity metrics. Quality over quantity.

SET UP YOUR APPOINTMENT SCHEDULING SYSTEM
You need a system to book sales calls and onboarding calls. This is non-negotiable.

The BAMFAM Method: Book A Meeting From A Meeting
When starting out, you will book appointments FOR your prospects. Do not send them a link and expect them to book themselves — they won't.
1.During your outreach (cold call, SMS, email, LinkedIn, Instagram), secure their verbal agreement to meet
2.Ask for their email address and phone number
3.YOU fill out the Calendly form for them with their information
4.Calendly automatically sends them a Google Meet link via email
5.YOU also send them the meeting link via their preferred channel

CREATE YOUR PRE-QUALIFYING FORM
A pre-qualifying form filters out unqualified leads BEFORE they book time with you.
▸Starting Out (0-5 clients): You won't use this much yet because you're manually booking calls. Build it anyway.
▸Scaling (5+ clients, paid ads, strong social presence): This becomes essential.
Recommended Tool: Typeform
1.Prospect clicks "Book Now" on your website
2.They're taken to your Typeform qualifying questions
3.If they meet your criteria, Typeform automatically redirects them to Calendly
4.Calendly auto-fills their name and email from Typeform
5.They select a time slot and book

▸How many transactions do you close per year?
Do NOT take on clients who don't fit your target market just because you need money.
Bad-fit clients lead to poor results, negative reviews, and wasted time.

CREATE YOUR SERVICE CONTRACT
Your contract is your protection and your credibility. A professional contract signals that you're a legitimate business and sets clear expectations for both parties.
▸Canva, Notion, or Google Docs (to create)
▸DocuSign, PandaDoc, or HelloSign (to sign)
▸Your Business Name & Logo
▸Client Name & Business Name
▸Scope of Work: Exactly what you're delivering
▸Deliverables: Specific outputs
▸Timeline: Start date, milestones, completion date
Your contract should be ready to send within 30 minutes of closing a client. Have a template prepared where you only need to swap: client name, business name, contract date, payment amount, specific deliverables.
NOTE: USE APPS LIKE FATHOM TO RECORD YOUR CALLS!

BUILD YOUR CLIENT ONBOARDING FORM
Your onboarding form is used AFTER you close a client to gather all the information you need to build their automation.
Key Difference: Pre-qualifying form = determines IF they're a good fit. Onboarding form = determines HOW to build their automation.

▸What is your preferred communication method?
